The knowledge of how to write a formal business letter is an important skill. It is equally important to know how to write a cover letter. People often unintentionally make mistakes that make business letters or cover letters seem less professional. The professionalism of correspondence between companies is very important. A business letter should never be written in a conversational tone, but should always be formal. To learn the how to write a formal business letter read on.

Typically formal letters, like these, are written in block format. This means that all sentences are left aligned or justified and contains a header. The letter will either be written on personalized letterhead or formatted to contain the appropriate information. If you must type this information start four lines below the header and enter your name. Below this enter your title. On the next line directly below insert your return address. Drop down three more lines and type the date. Skip two more lines and type the recipients’ name with the proper prefix, title, and address on consecutive lines. Skip three more lines and write your greeting. Remember to make this a formal greeting. After the greeting you will begin the body of your paragraph.

The introduction or first paragraph should explain who you are and how you know the letters recipient if they do not already know you. Between paragraphs you should leave two lines. Next you should discuss your reason for writing. Always thank the recipient for their time and try to keep your letter as short as possible. After the body, be sure to close your letter professionally.

The closing of your letter is your final chance to make a good impression. Show that you know how to write a formal business letter. Employ this tool just as you did the proper heading and body format. Be sure to close in a way that is memorable, but not obnoxious. A simple, but good closing is ‘Sincerely’. After this leave four lines and then type your name. In the space between the closing and your typed name it is important that you hand sign you signature. This personalizes the letter without making it informal.
